How to Request a Custom Gear Quote: 7 Details to Prepare

When sourcing custom gears, a clear inquiry helps a manufacturer assess your requirements and prepare a useful quotation. A photo or a single diameter often leaves important questions unanswered, especially when the gear must fit an existing assembly.

Before requesting a custom gear quote, gather the following information. If some details are unknown, identify them clearly so they can be reviewed.

1. A Drawing, CAD Model or Reference Sample

A dimensioned drawing is a useful starting point for reviewing a custom gear. Include the drawing revision and units so both parties work from the same information.

A 3D model can help explain the shape, while a 2D drawing can specify tolerances, surface finish and inspection requirements. If you only have a reference sample, explain whether you need a replacement part or a modified design.

Photographs can support an inquiry, but they usually do not contain enough information to define the tooth geometry and fit.

2. Gear Type and Tooth Geometry

Identify whether you need a spur gear, helical gear, bevel gear, worm or another transmission component.

Depending on the design, relevant details may include:

  • Number of teeth
  • Module or diametral pitch
  • Pressure angle
  • Face width
  • Helix angle and direction, where applicable
  • Information about the mating gear

For a replacement gear, matching the outside dimensions alone may not ensure correct engagement. Share available information about the mating component and the assembly.

3. Bore, Hub and Mounting Details

Explain how the gear connects to the shaft or surrounding components. Include bore dimensions and tolerances, together with any keyways, splines, threads or set-screw holes.

If the part must fit an existing shaft, provide its relevant dimensions or drawing. Clearly identify critical mounting surfaces and any required relationship between the bore and gear teeth.

4. Material and Operating Conditions

Specify the material grade if it has already been selected. If it has not, describe the application and ask for a material review.

Useful operating information includes load, rotational speed, lubrication, temperature and exposure to moisture or chemicals. Noise and weight requirements may also affect the design.

Steel, brass and engineering plastics serve different needs. Material selection should reflect the application rather than appearance alone.

5. Heat Treatment, Surface Finish and Quality Requirements

State any required heat treatment, hardness or surface treatment. Where applicable, distinguish between surface hardness and core requirements.

Identify critical tolerances and the inspection standard or acceptance criteria shown on your drawing. If you require inspection reports, material documentation or first-article approval, include these in the initial inquiry.

Avoid relying only on phrases such as “high precision.” Specific requirements make it easier to assess the part and compare quotations.

6. Prototype and Production Quantities

Provide the quantity required for the first order and an estimate of future demand, if available.

A prototype order and a recurring production order may require different manufacturing arrangements. Separating these quantities helps the supplier understand your project stage.

You can also request quotations for several quantity levels to support your purchasing decision.

7. Delivery Destination and Required Schedule

Include the delivery country or destination and your target date. Clarify whether the date refers to sample approval, shipment or arrival.

Mention any special packaging, labeling or traceability requirements. These details should be reviewed alongside the part requirements before an order is confirmed.

Custom Gear Inquiry Checklist

Before sending your request, check that it includes:

  • Drawing or model, revision number and units
  • Gear type and available tooth specifications
  • Bore, mounting features and critical tolerances
  • Material and treatment requirements
  • Prototype and production quantities
  • Inspection and documentation requirements
  • Delivery destination and target schedule

Missing a specification does not have to stop an inquiry. Explain what information you have and which points need further discussion.
